What personal data we collect and why we collect it

While you visit our site, we’ll track:

IP address and location: we’ll use this for purposes like estimating shipping costs and presenting prices in the correct currency.

Who on our team has access

Members of our team have access to the information you provide us. For example, both Administrators and Shop Managers can access:

  • Order information like what was purchased, when it was purchased and where it should be sent, and
  • Customer information like your name, email address, and billing and shipping information.

Our team members have access to this information to help fulfill orders, process refunds and support you. Some of our employees, contractors and affiliated organizations may be located outside of your home country; by using CDN Record’s websites, you consent to the transfer of such information to them.

Business Transfers

If CDN Records, or substantially all of its assets, were acquired, or in the unlikely event that CDN Records goes out of business or enters bankruptcy, user information would be one of the assets that is transferred or acquired by a third party. You acknowledge that such transfers may occur, and that any acquirer of CDN Records may continue to use your personal information as set forth in this policy.

Contact forms

We keep a record of every contact form submission sent to us through our Contact Us page. When you submit a message, we store the name you provided, the selected inquiry type, the subject line, the message text, the date and time of submission, the name of the form and the page it is embedded in, and your IP address and user agent (your browser).

We do not use the information submitted through the contact form for marketing purposes. We keep this information as a log of communications, so that we can better and more accurately serve you.

Cookies

To perform any shop-related activities on our site, like using the cart or wishlist, you will need to enable cookies on our site when first prompted.

For guest users, we keep track of your temporary cart and temporary wishlist. These will disappear if you clear your cookies, so in order to keep this data you will need to create an account. The data is then transferred into our database.

If you have an account and you log in to this site, we will set a temporary cookie to determine if your browser accepts cookies. This cookie contains no personal data and is discarded when you close your browser.

When you log in, we will also set up several cookies to save your login information and your screen display choices. Login cookies last for two days, and screen options cookies last for a year. If you select “Remember Me”, your login will persist for two weeks. If you log out of your account, the login cookies will be removed.

Our wishlist plugin uses a cookie to store your unique wishlist key. The key stays in your browser even after you log out, so be careful to not manually delete items from your wishlist when you are logged out if you plan on seeing them again once you log back in.

Our WordFence firewall uses cookies to authorize regular users or block malicious ones, in order to protect our customers’ data. The cookies also allow site administrators the extra privileges we require to manage the site, so we cannot disable these cookies globally.

Embedded content from other websites

Pages on this site may include embedded content (e.g. videos, images, articles, etc.). Embedded content from other websites behaves in the exact same way as if the visitor has visited the other website.

These websites may collect data about you, use cookies, embed additional third-party tracking, and monitor your interaction with that embedded content, including tracing your interaction with the embedded content if you have an account on that website and are logged in to that website.

Who we share your data with

We only share information with third parties who help us provide our orders and store services to you; for example:

  • We pass along your order information to PayPal to complete your payment on their website.
  • We give your name and shipping address to Canada Post to ship your order.

CDN Records will not rent or sell potentially personally-identifying and personally-identifying information to anyone. Payments

We accept payments through PayPal. When processing payments, some of your data will be passed to PayPal, including information required to process or support the payment, such as the purchase total and billing information. We do not store your payment information.

How long we retain your data

For users that register on our website, we also store the personal information they provide in their user profile. All users can see, edit, or delete their personal information at any time (except they cannot change their username). Website administrators can also see and edit that information.

If you have an account on this site, you can request to receive an exported file of the personal data we hold about you, including any data you have provided to us.

You can also request that we anonymize any personal data we hold about you. This does not include any data we are obliged to keep for administrative, legal, or security purposes.

How we protect your data

Every user interaction with our website is SSL encrypted, our website traffic is protected by a firewall, and our data is backed up regularly and securely. Our security and backup plugins are updated regularly.

What data breach procedures we have in place

Under the GDPR, we are required to report a data breach within 72 hours. If, for any reason, your personal information is compromised, we will attempt to notify you through the contact information you have provided to us during your use of the website.

What third parties we receive data from

To complete your order, PayPal will send us a confirmation token with your personal information once your payment is approved. This is used to complete the order information and to confirm your identity, as well as your shipping and billing address. We do not store your payment information.

CDN Records may change its Privacy Policy from time to time, and in CDN Record’s sole discretion. CDN Records encourages visitors to frequently check this page for any changes to its Privacy Policy. If you have a cdnrecords.com account, you might also receive an alert informing you of these changes.
